Docs/Contacts & Leads/Managing Contacts

Managing Contacts

All captured contacts appear in the Contacts tab of each agent. Contacts are sorted by capture date (newest first) and include a quick-action menu for each entry.

Viewing contacts

Navigate to your agent → Contacts. The table shows:

ColumnDescription
NameVisitor's name with an avatar initial
EmailEmail address (click the ⋮ menu to copy or open in mail client)
PhonePhone number if collected, otherwise "–"
CapturedDate and time the contact was recorded
SourceHow the contact was created: chat, form, or manual

Quick actions per contact

Click the ⋮ menu on any contact row to:

  • Copy Email — copies the email address to your clipboard.
  • Send Email — opens your default mail client with the contact's email pre-filled.
  • Copy Phone — copies the phone number to your clipboard (only shown if a phone was captured).

Contact status

Each contact has a CRM-style status field that you can update via the API:

StatusMeaning
newFreshly captured, not yet reviewed (default)
contactedYou have reached out to this lead
qualifiedLead has been qualified as a genuine prospect
convertedLead became a customer

Linked conversation

Every contact is linked to the conversation that captured it. The conversation_id field lets you trace exactly which chat session produced the lead, useful for reviewing the full context before following up.

Activity tab — Leads view

In addition to the Contacts tab, the Activity → Leads sub-tab on the agent dashboard shows a combined view of all recent lead captures with the same stats (Total, This Week, Conversion Rate) and a link to configure lead capture settings directly from there.

💡
Use the Conversion Rate stat to judge the effectiveness of your lead capture settings. A rate below 5% typically means the form is appearing too early (try Manual trigger) or asking for too many fields.
